Privacy and personal information

Privacy Policy

What information WageWise Canada currently processes, why it is used, when it may be shared, how long it is retained and how to raise a privacy request.

Scope and accountability

This Privacy Policy explains how WageWise Canada handles personal information submitted through the website and basic technical information produced when the site is accessed. WageWise Canada is responsible for information under its control and aims to follow applicable Canadian privacy requirements and the fair-information principles of accountability, identified purposes, consent, limited collection, limited use and retention, accuracy, safeguards, openness, access and complaint handling.

The policy covers the public website and contact form. A future account, paid product, API, newsletter, analytics provider or advertising provider may require an additional or revised notice before activation.

Information we collect

Calculator inputs

Public calculators do not require an account. Current calculator inputs are processed in the visitor’s browser. Some tools use session storage to pass a value to another WageWise calculator during the browsing session. The theme does not send those calculator inputs to WageWise Canada as a payroll record.

Contact submissions

The contact form collects the name, email address, selected topic, message and any relevant page URL voluntarily provided. The form also processes a security token and limited connection information to prevent automated abuse. Do not submit payroll documents, identification numbers, contracts, health information or other sensitive records.

Technical and server information

Web hosting, security and email systems may automatically process information such as IP address, date and time, requested URL, browser or device details, referrer and error or security logs. These records support delivery, security, troubleshooting and abuse prevention.

How information is used

Contact information is used to review and respond to the inquiry, reproduce a reported issue, assess a correction or accessibility report, handle a privacy request, protect the website and maintain an appropriate record of the communication. Submission does not add the sender to a marketing list.

Technical information may be used to operate and secure the website, diagnose failures, enforce rate limits, investigate abuse and understand aggregate service performance. WageWise Canada does not sell personal information.

Service providers and disclosure

Information may be processed by providers that support website hosting, security, backups and email delivery. They receive only the information needed for their service and may process it in jurisdictions where they operate, where it can be subject to local law.

Information may also be disclosed when reasonably necessary to comply with law, respond to lawful process, protect rights or security, investigate abuse or complete a business reorganization subject to appropriate safeguards. WageWise Canada does not disclose contact details to advertisers for their own marketing.

External links

Government and other external websites have their own privacy practices. WageWise Canada does not control information a visitor chooses to provide after following an external link.

Cookies, local storage, analytics and advertising

WordPress may set essential cookies for administrators and authenticated users. Public calculators may use browser session storage for temporary calculator-to-calculator handoffs. Visitors can clear cookies and site storage through browser controls.

No analytics or advertising provider is currently configured in the WageWise theme. Before cookie-based analytics, personalized advertising or another third-party tracking technology is activated, WageWise Canada must identify the provider and purposes, implement required consent controls and update this Privacy Policy and the Cookie Policy.

Retention and safeguards

The contact-form code sends a message to the configured site email address and does not create a separate WordPress post containing the submission. Email, hosting, backup and security providers may retain messages and operational logs according to their systems, legal obligations and backup cycles. WageWise Canada retains personal information only while it is reasonably needed for the inquiry, correction record, security purpose or applicable legal obligation, then deletes or anonymizes it where practical.

Administrative, technical and organizational safeguards are used in proportion to the sensitivity of the information. No Internet transmission or storage system can be guaranteed completely secure, which is why the form does not accept attachments and visitors are instructed not to send sensitive records.

Access, correction, withdrawal and privacy concerns

Depending on applicable law, an individual may ask whether WageWise Canada holds personal information about them, request access or correction, withdraw consent for future use where consent is the basis, or raise a concern about handling practices. Some information may need to be retained where required by law, security or a continuing correction record.

Submit a privacy request through the Contact page and select “Privacy request or concern.” We may request enough information to verify identity before disclosing or changing personal information. If a concern is not resolved, individuals may have the right to contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy authority.

Changes to this policy

This policy will be reviewed before activating analytics, advertising, accounts, paid products or material new data collection. The current review date appears above, and material changes are recorded in the Update and Review History.

Plain-language privacy standard

Collection should be limited to what is needed, the purpose should be explained before or when information is collected, and information should not be kept longer than necessary for that purpose.
